ROLE CONTRIBUTION
1. In order to ensure office support is given to all new comers and office-based staff, you are to :
1.1Keep office floor plan updated and telephone list to allow new allocations of desk efficiently whenever required
1.2. Facilitate the office moves internally or with the support of an external provider depending on the volume
1.3. Ensure all required office equipment is provided and updated in due time (telephone, information on the intranet, badge) 1.
4. Elaborate reports to the supervisor whenever necessary (ie : number of moves per quarter, recurrent issues )
1.5. Follow office policies and procedures and communicate them in a clear and understandable manner
1.6. Respond to staff queries in a professional and service focused manner
2. In order to ensure coordination with other internal support services to facilitate Office Facilities matters are smoothly handled : you are to :
2.1. Centralize all office-related requests and dispatch to appropriate departments for their action
2.2. For any moves or desk allocation for new comers, inform the messengers in order for them to help and prepare the materiel (ie : boxes) and to avoid delays in the mail dispatch due to change of desk
2.3. Also liaise with the IT service desk and the IT infrastructure teams to update the telephone information and cover any technical issues (ie : network issue) 2.
4. Ensure appropriate maintenance is executed by either SBM maintenance technicians or maintenance subcontractors
2.5. Communicate any special equipment or requirement to Office Safety whenever needed
2.6. Update Office Safety on new desk allocations for the update of the emergency team lists
3. In order to participate to cost reduction as per company’s objectives; you are to :
3.1. Implement management instructions to allow cost saving and propose new solutions whenever possible
3.2. Request quotations to shipping companies to monitor costs
3.3. Organize moves per group as much as possible to reduce costs of removal companies
4. In order to ensure all actions are in line with SBM Offshore compliance instructions; you are to :
4.1. All postal mail and shipment are treated with confidentiality
4.2. Ensure discretion with confidential moves
ROLE REQUIREMENTS
Bachelor's degree completed
Previous experience in Facilities or Quality areas
Indeep experience in data analysis / continuous improvement / KPI's
Advanced English level
Advanced knowledge - Office Package
