  • As a member of the Administrative Team, working as an Administrative assistant, you will be responsible for a proactive approach to tasks, showing initiative and a strong commitment to achieving excellence within your role.

What do we want to know about you?
  • Bachelor's Degree in Secretarial, Administration, Tourism, and related fields (completed or currently studying).
  • Advanced English.
  • Advanced Excel.
  • A sense of ownership in all tasks.
  • Good relationship with the whole organization.
  • Resilience and flexibility to complete different tasks.
  • Critical sense, and ability to solve problems and think outside of the box.
  • Scenario reading and discretion.
What will your typical day look like?
  • Maintain the executive's agenda and assist with planning appointments, board meetings, conferences, etc.
  • Attend meetings and write effective minutes.
  • Answer and screen phone calls and direct them where appropriate.
  • Handle and prioritize all outgoing or incoming correspondence (email, letters, packages, etc.).
  • Support 10 directors from Latin America with travel arrangements (flight bookings, hotel reservations, and any logistics necessary).
  • Deal with confidential documents, ensuring they remain secure.
  • Prepare invoices or financial statements and provide accounting assistance.
  • Monitor office supplies and negotiate terms with suppliers to get more cost-effective orders.
  • Maintain electronic and paper records, ensuring information is organized and easily accessible.
  • Conduct research and prepare presentations or reports as assigned.
  • Monitor payment process for administrative services.
  • Focal Point for Latin America T&L and Credit Card.
  • Responsible for board events.
  • Manage expense reporting - corporate card.
  • Organize small events.
  • Offer support regarding travel, inquiries, and registration of new employees using the tool from the agency that services us.
