Billing Specialist

Salary ranges from $24-28 per hour based on skills and experience. 

Purpose of the position

The primary function of this position is to secure, coordinate, and execute all billing requirements as it relates to equipment and centralized services invoicing.  As a key business representative, this position will work very closely with various departments including order entry, accounts receivable, sales, corporate finance, services, supply chain and the U.S. tax team to ensure that invoicing is completed both timely and accurately.  

Main tasks and responsibilities

• Generate customer invoicing on a daily basis including processing credit and rebills, tax credits, returns and concessions   
• Assists in maintaining various files and shared resources including the inventory database, billing shared inbox, invoicing and credit logs, bill and hold tracker and the billing error report
• Work closely with other OTC team members in resolving valid or unauthorized deductions/credits
• Verifies validity of account discrepancies by obtaining and investigating information from sales and service departments and customer
• Various Ad-hoc requests such as providing relevant reports for local management, invoice copies and creating proformas for internal and external customers, processing credit card payments as needed and supporting summary billing for key customers in addition to daily invoicing
• Updates job knowledge by participating in training and continuing educational opportunities.  This includes departmental cross-training to ensure that the department has adequate back-up and coverage at all times
• Maintains and organizes retention files for required period of time
• Secure all necessary documentation for efficient and accurate equipment and services billing.
• Protect organization's values by keeping information confidential
• Provide assistance and support to management as requested

Accountabilities:

• Overall responsible for timely and accurate equipment and centralized services invoicing.
• Link between order entry and business operations for all AR related matters in order to drive an efficient collection process and assure accuracy of numbers

What you’ll need to succeed

Education:

• High school diploma for GED equivalent required
• College level Accounting classes or Accounting Degree preferred

Working experience:

• 4-6 years hands-on Billing/Accounting experience

Competence and skills:

• Ability to sort, check, count and verify numbers
• Ability to multitask, prioritize and work efficiently with minimal supervision
• Ability to work independently, self-starter, energetic
• Ability to demonstrate good, common sense and sound judgment
• Ability to use 10-key calculator for a variety of accounting functions
• Ability to perform at high levels in a fast paced ever-changing work environment
• Ability to listen, communicate (both written and verbal)
• Good basic computer and word processing skills
• Good mathematical background
• Good communication skills
• Experience with spreadsheets and automated accounting systems
