The main responsibility of the Workplace team is ensuring the smooth running of the daily operations in the workplace. We are looking for a hands-on, customer-focused individual to help keep pace with our growth within a modern and dynamic environment. Requirements:
- ● Fluent in English.
- ● 3+ years in an operational or similar role in a corporate environment.
- ● Previous experience with vendor and project management.
- ● Adept at managing multiple projects simultaneously in a fast-paced, fluid environment
- ● Previous experience with office moves and relocation is considered a plus.
- ● Self-motivated, with demonstrable problem-solving skills and ability to work with minimal
- supervision.
- ● Some level of building maintenance, mechanical, and electrical knowledge is required.
- ● Friendly and professional disposition, with the ability to maintain successful relationships with all internal and external stakeholders
Responsibilities:
- ● Lead general building maintenance and building systems across multiple spaces in both Brazil and Argentina offices, ensuring any facilities matters are resolved in an efficient and timely manner, always corroborating to a safe and productive working environment.
- ● Establish strong relationships and communication within all levels of the organization to understand and meet business and operational needs.
- ● Manage hard-service vendors and work collaboratively with them to ensure all necessary planned and preventative maintenance is undertaken, aiming to minimize downtime within the workplace.
- ● Coordinate day-to-day workplace activities of general repairs and maintenance including HVAC, utilities, pest control, janitorial, furniture, and equipment set-ups.
- ● Monitor market trends and best practices. Provide insights and recommendations to improve quality and efficiency.
- ● Manage small construction/building works as well as support on moves/office relocation for both locations, coordinating the operations team to deliver smooth transitions from start to finish.
- ● Partner with the Space & Occupancy team on supporting seating and space planning within the facility to create maximum efficiency.
- ● Responsible for keeping the space planning tool up to date and generating metrics & reports of how the space is utilized as well as proposing possible optimizations.
- ● Set up new vendors for outsourced services, send out RFPs and constantly strive to improve on our operational services.
- ● Confirm accuracy on finance operations, compare costs for goods and services against industry averages, as well as provide opportunities for cost savings.
