We're looking for a Project Coordinator who will be responsible for the coordination of tasks and development of projects across multiple teams within the Delivery (Production) Department. You will be supporting the various teams with the execution of tasks and process streamlining as we develop our product offering, executing within the whole client delivery life cycle (onboarding and ongoing). You'll work closely with the Director of Delivery, the Delivery team leads and individual contributors, to ensure the delivery of client projects align with the company’s vision, meet market needs and are delivered to a consistently high-quality standard.

What You'll Be Doing

  • Working independently and successfully on medium to large impact projects
  • Fully understand the end-to-end requirements of OneLocal’s product offering to manage cross-team workflows, ongoing process optimization, identification of dependencies, and have a clear grasp of team dynamics and how they impact project outcomes
  • You will be a lead figure in cross team collaboration, working closely with various internal stakeholders in Delivery, Platform, Client Success, and Sales to develop and encourage cross-department coherence
  • Administer and maintain multiple projects and initiatives across different teams within the Delivery (Production) Department
  • Identify and document opportunities for process and product improvement, including:
    • Recurring issues or areas for concern
    • Root cause analysis and high level requirements
    • Short term solutions, and where applicable / appropriate potential long term solutions
    • Suggested prioritization and effort
    • Key contributors (departments or individuals) to inform RACI
  • Support individual contributors and team leads with execution of projects and guidance of next steps, timelines, objectives and deliverables
  • Administration of supporting tasks where additional help is required, wider Platform and Delivery Department support where necessary for operational improvement
  • Ongoing documentation creation and maintenance in Confluence to support our internal teams

What You Bring

  • At least 3+ years of Project Coordinator related experience
  • At least 3+ years of experience working for an agency, start-up, or other fast-paced environment
  • Experience managing a pipeline of deliverables and projects from multiple teams
  • Experience collaborating with internal stakeholders such as digital marketing SMEs, team leads, freelancers, and others (sales, client success, support, product, engineering)
  • Excellent written and verbal communication skills with the ability to present projects, updates, road blocks, and solutions
  • Ability to work independently and assimilate new ideas quickly
  • Being the leading voice of the project, small to large scale, while working with cross-functional teams including product, delivery, development, and QA to ensure timelines are met
  • Attention to detail and ability to keep track of multiple projects concurrently
  • Applying critical thinking and being solution oriented is essential
  • Understanding of agile product development life-cycle is an asset
  • Experience with Jira Projects, Jira Reporting and Salesforce is an asset
  • Effective facilitation and presentation skills, with the ability to present at all levels of the organization
