As part of the Ethics & Compliance (E&C) Team, the Associate Manager - Ethics & Compliance will provide program management support to the Ethics & Compliance, Director of Program Operations and Strategic Initiatives and Ethics & Compliance Program Manager. The primary responsibilities of this role are associated with support of the different phases of Risk Management (RM), as well as general E&C program activities. The Associate Manager - Ethics & Compliance will interact with the Ethics & Compliance Risk Management (ECRM) Outside Counsel, Compliance Program Teams (Leads, Subject Matter Experts and Outside Counsels), Legal Compliance Insights and Analytics, Legal and other Leadership, cross-functional stakeholder groups and other internal teams.
Primary Responsibilities:
- Coordinate meetings, trainings, interviews, workshops and reporting presentations with various Risk Management stakeholders, including Legal and other leadership
- Draft, when assigned, and distribute agenda and materials to participants prior to meetings
- Take minutes of meetings, with emphasis on capturing action items and decisions, and document all other RM events
- Collect responses and inputs, and follow-up on action items and submissions
- Track timelines and flag delays
- Provide support in the development of Risk Assessment related materials
- Manage the central repository (Teams site), ensuring version control, archiving of outdated versions and file organization for ease of location
- Request and coordinate required tool permissions and related reviews (e.g., Teams site, survey tool, data privacy review)
- Identify and propose improvements in the implementation of the RM process
- Perform other E&C program activities, as directed
Knowledge and Skill Requirement:
- Program/project management experience, with demonstrated ability to work with minimal supervision
- Risk management experience or knowledge preferred, but not required
- Familiarity with E&C programs, structure and policies, preferred, but not required
- Strong written and verbal English communication skills to follow complex discussions, take minutes, document processes and decisions, coordinate both verbally and in writing with various senior stakeholders and articulate requests, questions or support required
- Strong organizational and time management skills, particularly the ability to prioritize multiple tasks, manage tight deadlines and organize documents
- Highly developed coordination skills, adapting approaches to different stakeholders, as necessary
- Proficient in Microsoft Excel, PowerPoint and Word
