About Us: We are the Bueno Law Warriors, a team of badass immigrants and refugees who help other refugees find safety and freedom in the United States through legal status. We are an office of immigrants, for immigrants. Most of us are Queer, and all of us are awesome. We are led by our fearless CEO, who currently has a need for an assistant.
This is a high-responsibility position, as our CEO leads a team of nearly 50 Warriors and is in charge of several departments. She has high expectations for those who join her executive team. The ideal candidate must be able to keep up with her and foresee her needs before they become due. This is not a place where you will have a structured work day, as things tend to get chaotic when you run a company this size.
Position Overview:
We are looking for someone to join our team as our CEO’s right hand. Our visionary CEO needs to be saved from herself, and needs someone to keep her organized and maintain her calendar. We are looking for someone who is highly organized and proactive to be her Executive/Admin Assistant. You will be a fierce protector of the CEO’s time and resources. The ideal candidate will possess exceptional communication skills in English, attention to detail, and the ability to thrive in a fast-paced environment. You must be able to handle conflict situations with grace, be stern but polite, and have a sense of humor. You must be willing to get the job done no matter what, and have a positive mindset. You will be expected to help with current protocols, as well as suggest modifications to make things more efficient.

Key Responsibilities:
- Administrative Support: Provide high-level administrative support to CEO, including managing calendars, email, scheduling appointments, and coordinating meetings and events.
- Arranging travel for the executive team and other members: Book hotels, flights, rental cars, and travel packages for the team when they travel.
- Communicate/ negotiate with vendors: You must renegotiate contracts, ask for better deals, have uncomfortable phone conversations with most of our vendors and service providers in the U.S.
- Research growth opportunities: Find conferences, seminars, and classes that would benefit the CEO, and identify other resources that might help with the completion of ongoing projects. Research new technology and new tools.
- Document Preparation: Assist with drafting and proofreading legal documents, correspondence, and forms related to the business and/or clients.
- Handling our service providers: Keep all of our attorneys and service providers updated of necessary changes, keep appointments up-to-date, and make sure all necessary documents exchange hands.
- Accounting: paying bills, putting bills on auto-pay;
- Office Operations: Coordinate office logistics, including ordering supplies and promotional items, handling incoming deliveries, and looking for photographers/videographers for photoshoots.
- Team Collaboration: Collaborate with attorneys, paralegals, and administrative staff to streamline workflows, prioritize tasks, and ensure efficient operation of the firm.
- Special Projects: Take on additional projects and responsibilities as assigned, demonstrating flexibility and a willingness to contribute to the overall success of the firm. Projects like scheduling veterinarian check-ups, and doctor appointments, finding furniture, arranging international events and travel, etc.
Qualifications:
- Bachelor's degree preferred, or equivalent combination of education and experience.
- Previous experience in an administrative role, preferably in a legal or professional services environment.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines effectively.
- Excellent written and verbal communication skills, with a professional and courteous demeanor in interactions.
- Proficiency in Google Drive and all of its tools
- Comfortable with technology
- Discretion and integrity in handling sensitive and confidential information.
- Ability to work independently with minimal supervision, while also functioning as a collaborative team player.
