Job Description
The Executive Assistant is responsible for providing comprehensive administrative support and office management for Clinical Research Executive Directors in Brazil and team of Clinical Research Managers and Monitors.
The incumbent is responsible for exercising professional judgment in the office, with a strong focus on the awareness of the confidential nature of the information flowing in and out of the office; managing calendars by arranging meetings and logistics, including accurate domestic and international travel support; managing expenses in a timely manner, and generating correspondence.
Being a self-starter who can proactively manage priorities and independently resolves scheduling conflicts is a key dimension of the position. To execute these responsibilities, the incumbent must partner with many internal and external stakeholders, including the ability to integrate effectively and quickly with the other members of Support Staff.
The ability to adjust to constant/changing situations and the ability to manage relationships with others is essential. Demonstrated experience in the logistical planning and execution of meetings, including verbal and written communication, and proactive management of meetings are critical to this role. Team work and communication are crucial requirements to this position.
Main requirements:
- Bachelor's degree;
- Solid experience as an Executive / Administrative Assistant supporting Directors and Executives;
- Excellent verbal and written communication skills in Portuguese and English;
- Budget/Finance Management experience;
- Event Planning/Coordination experience;
- Advance computer skills using MS Outlook, Word, Excel, Power Point and operations of other company internal systems;
- Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel;
- SAP experience processing Expense Reports, Purchase Orders, Payment Requests, Vendor Add Forms, as well as report within SAP;
- Ability to handle and prioritize a large number of simultaneous assignments;
- Extraordinary attention to detail;
- Outstanding communication and people skills;
