Department & Team: LATAM Finance

Reports to: LATAM Finance Director

Summary:

LATAM Payroll Specialist will work in a multi-cultural environment, where we have several HR and Payroll service providers, so this person must be open to changing environment as well as embracing the challenges that arise in a fast-moving environment. This opportunity covers five countries in LATAM. This role is key to ensuring our payrolls are submitted, reviewed, paid in a timely manner and are recorded and reconciled accurately. The Payroll specialist will manage the end-to-end payroll activities and provide efficient and accurate accounting support within the finance department. It involves a high level of organization due to the various elements involved and will give the opportunity to challenge themselves and be responsible for entire end to end payroll processes across the LATAM region, including developing a very good understanding payroll financial accounting.

Key Responsibilities:

The LATAM Payroll Specialist will work in the Finance department and collaborate with HR and will have all employees as their internal customers. The primary responsibilities for this role include (but are not limited to):

  • End to end processing of payrolls for 5 countries in Latam - each with their own complexities - working with ADP, Vaps, Surlatina, RHPay as the payroll providers.
  • Key resource in the implementation of new global payroll model (new provider), being the focal during and after the transition
  • Ensure payrolls are processed accurately, timely and in accordance with local country requirements.
  • Performs high level payment reviews such as Equity stock transactions, severance pays, bonus pays and any additional complex calculations for corrected pays during processing.
  • Complete all month end payroll activities – preparing journals, accruals and balance sheet reconciliations.
  • Ensure that monthly, quarterly and yearly local tax payments and compliance requirements are met.
  • Maintain sufficient controls in place and implemented to capture changes month on month and ensure that any differences are reconciled and explained.
  • Create and maintain control documentation, process flows and procedures to ensure compliance with Sarbanes-Oxley
  • Liaise between the human resources and finance department to maintain accurate employee payroll information.
  • Ensure a consistent focus and involvement in driving efficiencies and process improvements.
  • Work with other members of Finance and HR teams to ensure salary and tax payments are made on time.
  • Administrative tasks – e.g., Payslips, year-end tax certificates and close monitoring of payroll mailboxes and action of items requiring attention.
  • At least 3 - 5 years’ payroll working experience, ideally in a similar role with LATAM exposure
  • Effective communication in Portuguese, English and Spanish
  • Knowledge and application of payroll principles, concepts and industry practices and standards in the Latin America countries (Argentina, Brazil, Chile, Colombia and Mexico)
  • Understanding of and following procedures and HR practices
  • Must be able to work to strict deadlines
  • To be able to understand the importance of escalating issues that sit beyond the scope of the role
  • Previous experience of ADP
  • Additional years of payroll experience
  • Accounting experience
