We are seeking an Operations Coordinator to manage essential administrative and operational tasks, ensuring smooth functionality across our organization. The Role
- Financial Management: Reconcile vendor invoices, process payments, oversee quarterly tax reports, and manage all financial transactions.
- Client Relations: Generate and send quotes, invoices, and service contracts. Follow up consistently to ensure timely payments, manage overdue alerts, and provide weekly updates.
- Branding and Marketing: Oversee the reordering and tracking of employee uniforms, brochures, newsletters, business cards, and promotional items. Assist in maintaining an active social media presence and collecting Google reviews.
- Customer Support: Manage service tickets, adjust user system access as necessary, and deliver basic customer support.
- Daily Operations: Monitor employee attendance, compile job reports, manage client scheduling, and ensure timely end-of-day updates.
- Reception Duties: Handle incoming calls, take detailed messages, and maintain up-to-date client information.
- Office Administration: Use Adobe and Excel for various tasks, including marking up blueprints.
- Vehicle Management: Track company vehicle mileage, manage maintenance schedules and inspections, and handle all related documentation.
Ideal Profile
- Software Proficiency: Strong preference for candidates with knowledge of Simpro software.
- Organizational Skills: Exceptional organizational and multitasking abilities, with a strong independent work ethic.
- Technical Skills: Proficiency in Adobe and Excel, with a willingness to learn Simpro software if not already familiar.
- Communication: Excellent verbal and written communication skills, with meticulous attention to detail in all documentation.
- Follow-Up: Proven ability to effectively follow up on tasks and manage projects through to completion.
- Industry Experience: Previous experience in a similar role within the service or installation industry is preferred.
